Topic: How to split the invoice for the main participant and the accompanying person  (Read 48226 times)

The participation fees of a participant will be paid by his/her university, but the fees for the accompanying person will be have to be paid by himself/herself.

Is it possible to issue two different invoices from ConfTool Pro for this participant?

Currently it is not possible to split and re-issue invoices automatically.

Many organizers simply do not issue separate invoices, but if you want to provide this service to your participants, you have two different options. You can either create the invoices manually (1) or create an additional participant group and ask the participant to register the accompanying person separately (2).

1)   To create two invoices manually, please download the current invoice (see image 1), and edit it with your word processor to produce two different documents (e.g. with invoice IDs CT0001a and CT0001b to refer to the source invoice has the number CT0001 in ConfTool). Then store and send these invoices as PDF files to the participant by e-mail. Please note that the invoice saved in ConfTool is no longer the legally valid version.

It would be a good idea to note down that you have issued separate invoices. Follow these steps to enter an internal remark. Please go to:
 
Overview => User and Participant Management => List of All Registrations for Participation,

… and click on "Edit Internal Data" (see Image 2) and enter your remarks into the field "Internal Remark about Participant". Additionally you can mark the checkbox "Invoice Print Status" (see Image 3).

You can always register the two separate payments in ConfTool easily, even if the payment methods are not identical (e.g. by credit card and bank transfer). Please see entry: Entering payments in ConfTool Pro.

2)   Alternatively you can create a participant group called for instance "Accompanying Person" that allows to register accompanying persons separately. Please go to:
 
Overview => Settings => Manage Participant Groups

… and click on the button "Create New Participant Group" (image 4). Access to this group can be restricted by a registration code, and you have the option to hide this group (image 5).

Please keep in mind that you need to define prices and select events/items available for this group (image 6). Usually you would disable all options that are not relevant for accompanying persons for this group.
