Topic: Hidden phrases in ConfTool Pro to add extra wording (expert users only)

We would like to add further information and options for participants when they log into their ConfTool account. We want to include information such as links to accommodation options and tours that we offer. Is there a way to add this information?

There are several hidden text fields that can be used to include more information for several different purposes. The following hints are for expert users.

We will start with one example in which additional information is included on the overview page for participants. We will give more examples for other options further down.

In general, the option "Wordings and Phrases" allows you to change all text labels that exist in ConfTool Pro. However, we have included several blank spaces into which additional wording can be entered. These blank spaces are normally hidden and must specifically be uncovered by administrators.

Please go to:
Overview => Settings => Wording and Phrases
…and enter one of the hidden keys provided on this page into the search field "Enter Part of Phrase".
Please also activate the option "Search Target" by selecting the checkbox (see image 1).

Additional Phrase on Overview Page for Participants
You can enter additional phrases on the overview page for users with the status “participant”. There are three separate locations where you can enter more information for participants only. Please use the following search strings / hidden keys:

S_INDEX_MESSAGE_PART – will appear for all participants at the very top of the overview page
S_INDEX_MESSAGE_PART_NODEBT – will appear only for participants with completed payments at the very top of the overview page
S_INDEX_MESSAGE_PART_DEBT – will appear only for participants with outstanding payments at the very top of the overview page

S_INDEX_MESSAGE_PARTICIPANT – will appear for all participants on the overview page just above the box with the options for all users

S_INDEX_INTRO_PARTICIPANT – will appear for all participants on the overview page at the top of the box "As participant you have the following options"
S_INDEX_PARTICIPANT_POSTFIX – will appear for all participants on the overview page at the bottom of the box "As participant you have the following options"

You can find the exact locations in the image below (see image 2).

Once you have entered the search string, click on "Edit Phrase" and enter the text and information you want the participants to see. You can use HTML tags to format the text. Alternatively, activate the HTML editor.
You can use these extra phrases e.g. to publish links to your online event or to create links to tours and accommodation that participants can book externally.

Don't forget to test all changes thoroughly!

There are more hidden blank spaces which you can fill with additional phrases.
You will find more examples below.

Hint:
In most cases, ConfTool already offers many options to modify and add text for different purposes.
You can easily modify or add text for authors on the page “Your Submissions” when you go to:
Overview => Settings => Main Settings for Paper and Abstract Submission

To add information for PC members and reviewers on the page “Enter and Edit Reviews”, please use the settings on this page:
Overview => Settings => Main Setting for Paper Reviewing

Additional information for participants on any of the pages for registration for participation can be included here:
Overview => Settings => Main Settings for Participant Registration
Enable the expert settings at the bottom of the page and then scroll down to the section “Extra Text for Participant Registration Pages”.

Additional Phrases on Login Page

You can include additional phrases on the login page. Both phrases will appear below the login button, but one aligned with the button, the other left aligned with the page. You can use these extra phrases e.g. in order to create a link to a page with more information about user registration or the login process.

Additional Phrase on Overview Page for All Users

You can include an additional phrase on the overview page. The phrase will appear on the top of the Overview page of every user. You can use this extra phrase e.g. in order to enter more general information for all users or create a link to another page with general information about your event.

Additional Phrase Below Logout Link for All Users

You can include an additional phrase in the box of general options that is available for all users: “You can select from the following options”. The phrase will appear below the logout link in that box. You can use this extra phrase e.g. in order to enter more general information for all users or to create a link to another page with general information about your event.

Additional Phrase on Overview Page for Canceled Participants

You can include an additional phrase in the box on the overview page that is available for canceled participants only: "Your registration for participation has been canceled. You have the following options". The phrase will appear below the link with the details of the canceled registration. You can use this extra phrase e.g. in order to inform all canceled participants about your cancelation policies.

Additional Phrase on Overview Page for Reviewers / PC Members

You can include an additional phrase in the box on the overview page that is available for Reviewers / PC Members only: “You are reviewer or member of the program committee (PC member). You currently have the following options”. The phrase will appear on the bottom of the box. You can use this extra phrase e.g. to inform Reviewers / PC Members about general reviewing guidelines or add a link to further instructions for reviewers.

Additional Phrase on Overview Page for Assistants, Chairs and Administrators

You can include an additional phrase in the box on the overview page that is available for Assistants, Chairs, Track Chairs and Administrators only. The phrase will appear on the bottom of the box. You can use this extra phrase e.g. to include general information for all members of the organizing team.

Additional Phrases on Submission Page for Title and Abstract

You can include two additional phrases on the submission form for authors. The first phrase will appear below the input field of the title of the contribution. The second phrase will appear above the input field of the abstract. You can use this extra phrases e.g. to include short hints about or links to formatting requirements.

Furthermore, you can customize the labels of the author, title and abstract fields for each track / submission type separately by using these keys:

- S_PAPER_ABSTRACT_TRACKx, S_PAPER_FORM_ABSTRACT_TRACKx, S_PAPER_FORM_ABSTRACT_HINT_TRACKx

“x” stands for the ID of the track / submission type you want to address by this update. Unlike the process for the previous keys, these keys (usually) do not yet exist and you have to create them entirely new. You can do so by searching for instance for S_PAPER_TITLE, then start to edit this phrase. Now enable the “Expert Options” and click on the button “Copy Phrase to Create a New Key”. You can now enter the new key and define the new wording for this key.

Additional Phrase During Registration for Participation – Participant Status

You can include an additional phrase on the page of the first step of registration for participation during which the participant group can be chosen. The phrase will appear above the choice options for participant groups. You can use this extra phrase e.g. to include more information about all available participant groups.

Additional Phrase During Registration for Participation – Payment Details

You can include an additional phrase on the page of the third step of registration for participation during which the participant enters the payment details. The phrase will appear above the choice options for the payment method. You can use this extra phrase e.g. to include more information about some or all available payment methods.

Additional Phrase During Registration for Participation – Payment via Credit Card and Online Payment Gateway

You can include an additional phrase on the page of the third step of registration for participation during which the participant enters the payment details, specifically for the payment option “Via credit card, using a secure online payment service” (an extra module is required for this option). The phrase will appear below the information of this payment option. You can use this extra phrase e.g. to include more information about the payment process via credit card and an online payment gateway.

Additional Phrases on Invoices

You can include an additional phrase on the invoice. The phrase will appear as an extra reference line (see image 1).

Additional Phrase on Fax Statement – Payment by Credit Card

You can include an additional phrase on the fax statement that participants can print out and fill in with their credit card details. The phrase will appear on the bottom of the fax statement.

You can include two additional phrases on the user registration form which will appear below the input field of the user's e-mail address and/or the input field of the secondary e-mail address respectively.

Additional Phrase on Overview Page for Open Review Process

You can include an additional phrase when you have opted for an open review process. This phrase will appear at the top of the box “You are welcome to participate in the open review process” that is shown to all users when the open review process is activated. You could include short information about this special type of review process or provide an external link to detailed instructions on the webpage of your conference.

Additional Phrase at the Top of Box of Options Displayed to Specific Users Only

You can include an additional phrase at the top of the box that only appears according to specific user rights on the overview page, e.g. the box of options only available to users with the user status "Reviewer" or "Editor".

Example: You want to include a link to instructions for reviewers that appears on the top of the box of options that is only displayed to users with the status "Reviewer" (and with that status only - if the user is also a PC member, the phrase will not appear!). The phrase will appear at the top of the box (see image).
