Please ask the co-authors to
create a user account to access the system. Depending on the settings of the confirmation letters:
Overview => Settings => Settings for Confirmation Letters.
...they need to be users, or registered participants, or co-authors (with validated mail addresses, see below), or presenters of a submission. Please select the preferred setting and enable the corresponding phase to grant access to the invitations / visa invitation letters (see image).
Please note that there many
additional fields for visa invitation letters that can be enabled here:
Overview => Settings => Settings for User Registration => Fields of the User Registration Form...if you enable the expert settings (click on the cogwheel at the bottom of the page).
If your co-authors need a
list of accepted submissions in their invitation letter, they have to use the same e-mail address for their user account that was entered for the co-author of the corresponding submission(s). As soon as they
validate their e-mail address, they get access to the invitation letter including the information on their submissions.
More detailed information on the validation of e-mail addresses can be found at:
Co-author: How can I validate my e-mail address to access additional information in ConfTool? Please note: We usually recommend
not making visa invitation letters directly accessible to users, but to send them on request only, because of the risk of immigration fraud. For related information please see the following entry:
